Road show planning checklist for brands in the UAE

A road show moves a brand through several venues in a few weeks. Every site repeats the same set-up, so planning it once and well saves money at each stop.

1. Set the goal and the audience

Decide what a good road show produces: trial, leads, sign-ups or sales. Then decide who you want to reach, since this chooses the venues. A shopper road show runs in malls and supermarkets. A trade road show runs at distributors and business parks.

2. Choose venues and dates

List the venues, the days and the hours. Ask each venue for its rules on set-up times, power, loading access and branding. Check the calendar for holidays, school terms and major events that change footfall. Ramadan and the summer both change how the UAE shops and travels.

3. Apply for approvals early

4. Design a stand that travels

A road show stand is built once and installed many times. Design it to be modular, light enough for a small team and strong enough to survive repeated transport. Plan storage and repair between stops. Keep the graphics easy to swap if venues change.

5. Staff and brief the team

Decide how many promoters, hosts and supervisors each venue needs, and keep the same core team across stops so the quality stays steady. Brief them on the product, the script and the safety rules before the first day.

6. Run the logistics

  • Transport and vehicle permits, with loading windows agreed with each venue.
  • A stock plan for samples, giveaways and printed material.
  • A run sheet for each day: set-up, open, breaks, close, pack-down.
  • A contact sheet with the venue manager and your supervisor.

7. Report after every stop

Collect photos, counts and notes at each venue, and adjust the next stop with what you learned. At the end, summarise results across all venues.
