How much does a brand activation cost in Dubai? The cost drivers and how to compare quotes

Everyone asks what an activation costs, and the honest answer is that it depends on a short list of things you can name. Instead of a number that would mislead, here are the lines that make up a quote and the questions that show whether two quotes are comparable.

Short answer

A brand activation in Dubai is priced from its parts: the stand or set, the people, the number of days and sites, approvals and venue fees, stock and samples, content and reporting. Because these vary widely, the reliable way to compare agencies is to give them the same brief and ask for the quote in the same line items.

The lines in a quote

  1. Concept and design. The idea, the stand or set design and the artwork.
  2. Fabrication and installation. Building the stand, graphics, flooring, lighting and any screens, plus installation and removal.
  3. People. Promoters, hosts, a supervisor and a reserve, multiplied by days and hours. A branded uniform is a cost too.
  4. Approvals and venue fees. Authority permits, mall or store charges and any security deposit.
  5. Stock and samples. Product, cups, consumables and giveaways.
  6. Logistics. Transport, storage and the time for set-up and pack-down.
  7. Content. Photo or video during the activation, if you want it.
  8. Reporting. Daily photos, counts and a final report.
  9. Management. Project management and agency fees.

What moves each line

  • Number of sites and days. A programme across 20 stores for four weeks multiplies people, stock and logistics.
  • Stand ambition. A printed counter and a custom fabricated set with lighting sit at different price points. A reusable design spreads the cost over many sites.
  • Hours. Evenings and weekends are the busy hours, and staffing them costs more than a quiet weekday.
  • Prizes or food. These add approvals and compliance work. See the promotion permit guide.
  • Lead time. A rushed build costs more than one with a normal timeline.

Questions that make quotes comparable

  • Does the quote include permits, mall fees and deposits, or only the agency's work?
  • How many people per shift, and for how many hours a day?
  • Who builds the stand: a workshop you can visit, or a subcontractor?
  • Is a reserve of trained staff included for absences?
  • What happens to the stand at the end: do you own it, and who stores it?
  • What is reported, how often and in what format?

Avoiding false savings

A low quote often leaves out something you will pay for later: approvals, extra shifts, repairs to the stand or reporting. Line the quotes up in the same layout and the gaps appear. Our exhibition stand cost guide uses the same method for trade shows.

How to spend well

Put money where shoppers meet the product: the people, the script and the position of the stand. Spend less on decoration that nobody remembers. Ask the agency which line it would cut first if the budget fell by a fifth, and why. The answer tells you what they think matters.

Questions

How much does a brand activation cost in Dubai?

It depends on the number of sites and days, the stand, the staffing and the approvals. Send the same brief to several agencies and compare the quotes line by line, instead of relying on a headline figure.

What is included in an activation quote?

Typically concept and design, fabrication and installation, people, approvals and venue fees, stock, logistics, content, reporting and management.

Why do activation quotes differ so much?

Usually because they include different things, such as permits, a reserve of staff, reporting or removal of the stand. Ask each agency for the same line items.

How can I reduce the cost of an activation?

Use a reusable stand, give a normal lead time, choose fewer sites with better positions and agree the measures early.
